Purpose
Short runs — personalized color labels under ~5,000 units — live or die on setup discipline. This guide is the end-to-end workflow in Label Studio Creator: intake the order, prepare artwork and data, preflight, proof, run a short test, produce, and close out with inventory and history — all tuned to keep setup waste low.
In short runs the setup is a large fraction of the job, so every avoided mistake is real money.
1. Intake the order
Capture everything needed before touching artwork. A complete ticket prevents mid-job surprises:
- Quantity, deadline, and finish (laminate, cut, roll/sheet).
- Label size, media, and printer/color mode (CMYK or CMYK+White).
- Data source for variable fields; approval requirements.
- Brand assets and any compliance constraints.
2. Prepare artwork & data
Start from a template
Use the approved template for the size/media so the baseline is already correct.
Bind variable data
Connect the CSV/Excel; map fields; confirm the record count matches the order.
Set white / spot if used
Configure underprint/spot behavior now, not after preflight surprises.
Freeze the design
Lock brand/legal elements so nothing drifts during production.
3. Preflight
Prepress
Safe zones, bleed, low-res images, objects off the printable area.
Data
Missing values, overflow, date/serial formats, duplicates.
Barcode
Syntax, check digit, quiet zone, and X-dimension for the media.
Color / output
ICC intent, CMYK+White separation, spot mapping, RIP/driver route.
4. Proof & approve

5. Short test run

6. Produce & close out
Release the balance, then close the job properly so the next one is easier:
- Release the remaining quantity from the queue after the test passes.
- Spot-check during the run; catch drift early.
- Update media inventory with real consumption (including setup waste).
- Keep job history for reprints and repeat orders — don't rebuild manually.
7. Common problems and fixes
